How it works

From Collection to Certificate

01

Book a collection slot

Via our website or by phone. Let us know roughly how many boxes or metres of archive it involves. We confirm the date and price.

02

We place containers

240 L roll containers at your location. You fill them with the archive. Folders, binders and paperclips can stay in.

03

Collection and sealing

We seal each container on your premises with a numbered seal. The seal number is shown on the collection receipt you receive straight away.

04

Destruction and certificate

Destroyed within 24 hours to DIN 66399 P-5. Certificate of Destruction with date and job number by email within 2 working days.

One-off

One-Off Archive Destruction Without a Subscription

Most archive jobs are one-off. A relocation, a merger, an office going paperless or boxes of files whose legal retention period has expired. For all of those situations we collect the whole archive in one go and destroy it to DIN 66399 P-5.

You do not have to sign a contract or commit to a minimum. You only pay for what you have destroyed. Not sure whether files can already go? First check the 7-year tax retention obligation and the retention periods per document type. Once the period has expired, professional archive destruction is the safest way to dispose of it. Read our explainer on one-off archive destruction too.

Individuals

Archive Destruction for Individuals

At home too, folders of sensitive information pile up. Old tax returns, payslips, medical papers, bank statements and files from an inheritance or a deceased family member. They do not belong with the waste paper, because throwing away paper with personal data unshredded is a data breach under the GDPR.

We collect your private archive from your home address and destroy it to the same standard as for businesses, with a Certificate of Destruction as proof. Individuals and businesses pay the same rates. You can read more about this in archive destruction for individuals.

Chain of custody

From Collection to Destruction the Chain Stays Closed

With a whole archive it often involves years of files containing personal data. That is why your archive stays under control from collection to destruction. There is no moment in between where anyone can simply access your files.

  • Roll containers. Your archive goes into lockable roll containers, not into open bins.
  • Collected on the spot. At collection we seal each container with a numbered seal. The seal number is shown on your collection receipt.
  • Our own transport. No intermediate storage, no transferring. The archive goes to destruction in one go.
  • Destruction to P-5. Shredded within 24 hours to DIN 66399 P-5, so reconstruction is impossible.
  • Certificate as the final step. You receive a Certificate of Destruction with date and job number, and for large archives per location.

You can read more about how that chain works in chain of custody from archive to shredder and the certificate of destruction explained.

Security level

Why We Destroy Archives to DIN 66399 P-5

DIN 66399 is the standard that defines how small paper must be shredded. The higher the P-level, the smaller the particles and the harder reconstruction becomes. An ordinary office shredder usually reaches P-2 or P-3. We destroy archives as standard to P-5, the level the GDPR expects for BSN numbers, medical and other special categories of personal data.

Level Particle size Suitable for
P-3Particles up to ≈ 320 mm²Documents with ordinary personal data
P-4Particles up to ≈ 160 mm²Sensitive personal and business data
P-5 (our level)Particles up to ≈ 30 mm²BSN numbers, medical and special personal data
P-6Particles up to ≈ 10 mm²Secret business and government information

For more explanation, read DIN 66399 explained (P-5 and P-6). Is there also digital storage in the archive? We also destroy data carriers and hard drives by serial number.

What we destroy

Which Documents Belong in an Archive Destruction?

As soon as files contain personal data, financial data or confidential business information, secure destruction is the sensible choice. Common documents that businesses and individuals have destroyed are:

  • Personnel files
  • Customer data and customer records
  • Contracts and quotes
  • Invoices and bookkeeping
  • Tax returns
  • Bank statements
  • Payroll records
  • Medical files
  • Legal files
  • Old paper archives

Not sure whether documents must be kept? First check the legal retention period. Read more about destroying personnel files and about destroying confidential documents.

Frequently asked questions

Frequently Asked Questions About Archive Destruction

What is archive destruction?

Archive destruction is the demonstrable destruction of a paper archive whose retention period has expired. We collect the archive from you and destroy it to DIN 66399 P-5. You receive a Certificate of Destruction as evidence for your GDPR file. The difference from simply discarding waste paper is that destruction happens at a defined level and that you can prove afterwards that it took place. If the content has to be kept but the paper does not, we scan the archive first. With archive digitisation you check the digital archive and only then do we destroy the originals.

What does archive destruction cost?

Archive destruction starts at € 30 all-in for the first archive box (up to ≈ 15 kg). Each additional box in the same collection costs € 25. A 240 L roll container is € 120 all-in, enough for about 4 archive boxes. For a complete archive or a clear-out day we set a fixed day rate based on your volume. All prices exclude 21% VAT.

Can I have my archive destroyed as a one-off?

Yes. One-off archive destruction is our standard. You book a single collection, we collect the whole archive in one trip and destroy it within 24 hours. No subscription, no contract term, no minimum.

Do you also offer archive destruction for individuals?

Yes. Individuals and businesses pay the same rates. We collect your private archive from your home address and destroy it to DIN 66399 P-5, with a Certificate of Destruction as proof.

Do I receive a certificate after the archive destruction?

Yes. With every job you receive a Certificate of Destruction with the date and a unique job number. For larger archives we provide a certificate per location. You add this certificate to your GDPR records of processing.

Do I have to remove folders, binders and paperclips?

No. Paperclips, staples, dividers and ring binders can stay in. We remove large metal lever-arch files ourselves. You do not need to pre-sort anything.

Can you destroy the archive on site?

We work with a collection service. We take your archive with us and usually destroy it within 24 hours at our facility to DIN 66399 P-5. The chain stays closed, from sealing on your premises to the certificate. For destruction at your own address with a mobile shredder, see mobile shredding.

How quickly can you collect an archive?

A collection is often possible within a few working days. For a large archive or an office clear-out we schedule a fixed day. If you are in a hurry, an express collection can usually be arranged.

In which area do you collect archives?

Throughout the Netherlands. In the Amsterdam region we come at no pickup charge. Elsewhere we combine your pickup with a nearby route, which is why those need at least 2 weeks. In a hurry? A sooner pickup is possible for a per-kilometre fee.
