From Box to Searchable Archive

Collection
We collect the boxes and register each one under its own number. You sign for the handover.
Preparation and scanning
Staples, clips and folds out. Scanned at 300 dpi in colour, double-sided, with text recognition.
Classification and review
Every document gets a type and the fields that belong to it. Anything uncertain is checked by a person.
You check and approve
You review the digital archive. Without your explicit approval we destroy nothing.
Destruction with certificate
The paper then stays for another thirty days. After that we destroy it and you get the certificate.
The Result
A searchable PDF per document
Text layer in Dutch and English, so you find a file by a name or an amount instead of by a box number.
Your own structure
We use your categories, not a fixed tree you have to learn afterwards.
An index per box
A CSV with document number, type, fields and origin, so you can see where everything came from.
Thirty days to collect it
After that we delete our copy and confirm it in writing. We do not keep your archive longer than needed.
Why This Differs From Scanning Alone
A scanning bureau delivers files and sends the boxes back. You are left with the same paper and an extra invoice. We do the destruction ourselves, so the job does not stop halfway. And because we destroy afterwards, we have every reason to make sure the digital archive is right before the paper is gone.

Rates per Page
Three rates, depending on how much we have to do with the archive. The price comes from a sample and not from a page counter, because the condition of the paper decides the work.

Minimum € 295 per project. A standard archive box holds around 2,250 pages, so expect roughly € 495 a box classified and searchable, including destruction of the originals. Destruction alone costs € 30 a box. All prices excluding 21% VAT.

Frequently Asked Questions
Who decides whether the paper is destroyed?
You do. We destroy only after your explicit approval and we record it with timestamp, user and the documents concerned. No automated process may give that approval.
What if the digital archive turns out incomplete?
That is why the paper stays for thirty days after your approval. Within that period we fix a defect from the original free of charge.
How long does it take?
That depends on the condition of the archive. Preparation takes the most time, not the scanning itself. After the sample you will know where you stand.
Where are my documents processed?
Inside the European Union. The parties we involve are named in the processor agreement.
What happens to the digital archive afterwards?
You can download it for thirty days. After that we delete our copy and confirm it in writing. We do not offer long-term digital storage for now.
Can I have it destroyed only?
