What for

When This Is the Right Service

Our other services end at the shredder. This one does not. Here the archive has to arrive intact, with somebody who is allowed to see it. That comes up more often than you would think.

  • An office move where the archive has to come along
  • Handing a practice or a portfolio to a successor
  • Files going to a lawyer, notary or accountant
  • Data carriers to another site or another data centre
  • A merger bringing two archives together in one place

If the material does have to go afterwards, we collect it later for archive destruction or data destruction. That is a separate job, with its own certificate.

How it works

Four Steps, Two Signatures

You lock it yourself

We put the packages ready at your site. You close them and set the code yourself, on your own phone. We do not look over your shoulder.

We sign at departure

On the transport slip we record the lock number per package and that the lock is closed. Sender and driver both sign.

We drive

The packages stay closed the whole way. We cannot open them, because we do not have the code. Meanwhile you pass it to the recipient.

Handover on arrival

The authorised recipient signs on presentation of ID. We record that the locks are still closed. After that the recipient opens them.

What We Confirm and What You Confirm

A closed chain has two halves. We confirm what happens in transit, you confirm what goes into the packages. We would rather be painfully precise than reassuring, because a promise about something we cannot know is worth nothing when there is a data breach.

  • That the packages were handed over at location A, with date and time
  • That every lock was closed at departure, by lock number
  • That the packages were not opened between A and B
  • That delivery was made to the authorised recipient, against ID
  • That we never held the code

What you confirm

  • What is inside the packages, because we never see it
  • That your declaration of the contents is correct
  • That nothing was taken out before we arrived
  • That the code stays with you and the recipient

That distinction is not a hedge. It is exactly what the lock buys you. We do not know what is inside, so we cannot get at it either, and that is the whole point.

The locks

Two Ways to Close a Package

Standard

A lock that checks the code offline. You set it at collection, with no internet and no app of ours. There is no SIM card in it and nothing has to work en route. The recipient keys in the code you gave them.

With live tracking

A 4G lock that reports its position and flags every opening. Useful for a valuable or sensitive consignment you want to watch in transit. Note that unlock authority then sits with the platform rather than with you alone, so it is a different trade-off.

Which Documents Travel With It

With destruction the evidence is the certificate. Here it is the slip with two signatures. For your GDPR file that is the record that the data moved under control from one controller to another.

  • Transport slip with both addresses, the authorised recipient, every package logged by lock number and a signature at departure and on arrival
  • Open-event log from the lock, as an export, so you can show nothing was opened en route
  • Data processing agreement, just as with our other services
  • CMR consignment note as soon as a border is crossed

What Confidential Transport Costs

A run is charged per run, not per box. The van drives empty to the collection address, loaded to the delivery address and empty back again. That whole loop is what the run costs, so that is what we charge on. The first 70 km of the loop are already in the basisrit, which means an ordinary run across town never reaches the per-kilometre line.

All amounts exclude 21% VAT. We measure the loop by road, not as the crow flies. You get the figure up front and it does not change afterwards.

Would you rather combine it with a destruction job? If we come back later to collect material anyway, the earlier run counts towards the quote. Mention it in your request.

Service area

Where We Drive, from Amsterdam across Europe

Within the Netherlands we drive to and from any address. We set out from Amsterdam-Noord, so runs in the Randstad are priced most keenly, but there is no limit on where we go.

Internationally too, inside the EU. We hold a NIWO Community licence, so we may carry goods for hire across borders. Every cross-border run takes a CMR consignment note alongside the transport slip. Outside the EU on request only, because customs can demand a package be opened while our driver is precisely the person without the code.

Frequently asked questions

Questions About Confidential Transport

Do I get a Certificate of Destruction?

No. Nothing is destroyed on a transport job, so there is nothing to certify. You get a transport slip signed at departure and on arrival, plus the open-event log from the lock. If you want the material destroyed after delivery, that is a separate job with its own certificate.

Does the driver know the code to the lock?

No. You set the code yourself before the package leaves the building and you pass it straight to the recipient. The driver does not have it and neither do we. That means we cannot open the packages in transit.

What if the recipient cannot open the lock?

The code is the sender’s responsibility, so we open nothing on our own initiative. We either take the consignment back unopened, or we cut the lock off with an angle grinder as soon as the sender instructs us to in writing. The cost of that choice is for the sender.

Who are you allowed to deliver to?

Only to the authorised recipient you name in advance, on presentation of valid ID. To nobody else, not even a colleague at the same address. If that person cannot be there, give us another name beforehand.

Do you certify what is in the box?

No. We confirm that the package was not opened between A and B. What was inside it we do not know, because we never saw it. The contents listed on the transport slip are the sender’s declaration and are marked as such.

Do you drive abroad as well?

Yes. We drive throughout the Netherlands and inside the EU. For cross-border work we hold a NIWO Community licence and a CMR consignment note travels with the shipment. Outside the EU on request only, because customs can demand a package be opened and that code is exactly what we do not have.

Can you use my own boxes?

For the carriage itself, yes, but then the lock goes and so does the proof that nothing was opened in transit. We recommend our lockable packages precisely because that proof is the product.

What does confidential transport cost?

A run costs € 145 excl. VAT, including the first 70 km there and back, 10 packages and 45 minutes of loading and unloading. Above that we charge € 1.15 per kilometre over the whole loop and € 6.50 per extra package. International work and larger volumes are quoted per job.
