When Can Your Business Records Be Destroyed?

The key question when clearing out business records is not how, but when. The tax retention obligation is 7 years. For records relating to real estate the period is 10 years. Once that period has passed, the records may be destroyed. Payroll and personnel data have their own retention periods, so check those separately.

Which Business Records Do Companies Have Destroyed?

Business records is a broad term. It covers all the paper and digital data you keep for running the business. Once the retention period is over, business owners have destroyed, among other things:

A lockable 240 L roll container at your office. Binders and dividers can stay in.

Collection and sealing

We seal the container on site with a numbered seal. The seal number is stated on the collection note.

Destroyed within 24 hours to DIN 66399 P-5. Certificate of Destruction within 2 working days by email.

Clients' Records Destroyed with Proof

Accountants, bookkeepers and administrative offices manage their clients' records for years. Once the retention period has passed, they must be destroyed securely and with proof. A separate certificate per job makes that easy to account for.

Do you also destroy payroll and salary records?

Yes. Payslips, payroll records and personnel data contain BSN (Dutch social security number) and special-category personal data. We destroy them to DIN 66399 P-5, the level the GDPR expects for this, with a certificate as proof.

Do I get a certificate for my bookkeeping?

Yes. With every job you receive a Certificate of Destruction with the date and a unique job number. This lets you demonstrate, during an audit, that the records were destroyed to the standard.

Do you do this for accountants and bookkeepers too?

Yes. Accountants, bookkeepers and administrative offices regularly have their clients' records destroyed once the retention period has passed. We provide a certificate per job, so you can add it to the client file.

Do I need to remove binders and dividers?

No. Dividers, staples and ring binders can stay in. We remove large metal lever-arch files ourselves. You do not need to pre-sort anything.
