Paper destruction price: what determines the cost?

Paper destruction price, what determines the cost

Paper destruction costs a fixed price per box or roll container, from about 30 euro for the first box. The final price depends on the volume, the choice between loose boxes or a roll container, one-off or periodic, the distance and any extras. Within 20 km of Amsterdam we charge no call-out fee.

Before you have paper destroyed, you want to know where you stand. A fixed price in advance prevents surprises, but what exactly determines that price is not always clear. This article explains which factors influence the cost, what the difference is between paying per box and per kilo, and how a few worked examples help you quickly estimate what your situation costs.

What is paper destruction exactly?

Paper destruction is the confidential and irreversible making illegible of paper with sensitive information. A specialised company collects the paper, shreds it to the right DIN level and then recycles it. That is different from putting paper out with the waste paper, because then the information stays legible. For the price the type of paper matters little, a folder with personal data costs the same to destroy as a stack of ordinary documents. What mainly determines the price is the quantity, not the content.

What determines the price of paper destruction?

The price arises from a handful of factors. Together they determine what you pay:

  • Volume. How much paper you have is the most important factor, measured in boxes or kilos.
  • Box or roll container. Loose boxes are handy with little paper, a roll container is cheaper for larger quantities.
  • One-off or periodic. A single collection has a fixed price, a fixed frequency often becomes more favourable per time.
  • Distance. Within 20 km of Amsterdam we charge no call-out fee, beyond it a surcharge may apply.
  • Extras. Data carriers, urgency or a high DIN level can slightly influence the price.

Most of these factors you can estimate yourself, so you have a good picture of the cost in advance. The full pricing with more examples is in what does archive destruction cost.

Per box or per kilo?

The two common ways to settle are per box and per kilo. Which is cheaper depends on your volume.

QuantitySettlementWhen favourable
1 to a few boxesPer boxSmall, one-off clear-out
Several boxesRoll container by weightFull archive cabinet or more
Continuous flowFixed frequencyPeriodic collection

The rule of thumb is simple, as soon as you have more than a few boxes, a roll container by weight usually becomes cheaper than loose boxes. In doubt, just give your estimated volume and you get the most favourable rate.

Worked examples

A few examples to get a feel for the price:

  • A private individual with one box of old records pays the rate for a single box, from about 30 euro.
  • A freelancer clearing out seven years of records often has two to four boxes, still settled per box.
  • An SME office emptying a full archive cabinet quickly reaches a roll container, which works out cheaper by weight than loose boxes.
  • A business with a continuous flow chooses a locked bin with a fixed collection frequency, at a rate per collection.

To estimate your volume in kilos, paper volume to weight for a quote helps. A moving box full of paper weighs about ten to fifteen kilos.

Price for private individuals and businesses

The rates are the same for private individuals and businesses, you pay for the volume that is collected. A private individual with a box of old bank statements therefore pays the same box rate as a small business with a box of records. The difference is mainly in the quantity and the frequency. Private individuals usually have a one-off clear-out, while businesses more often choose a fixed bin with periodic collection. The price per box stays the same in both cases. Larger volumes become cheaper by weight for everyone.

Call-out fees and the service area

An item that can run up considerably with some providers is the call-out fee. At DeSnipperaar we charge no call-out fee within 20 km of Amsterdam, so the price you get in advance is also the price you pay. If your location is further away, a surcharge may apply, depending on the distance. For collection services in the region, read more at paper shredding in Amsterdam.

One-off or periodic, what is the difference?

A one-off collection has a fixed price for that one time, without further commitments. If you produce confidential paper continuously, a fixed frequency is usually more favourable per time, because the collection is planned more efficiently. The trade-off is therefore not only about price but also about your situation. For a defined job a one-off is logical, for a continuous flow a fixed arrangement. More on this is in one-off archive destruction.

Does the DIN level influence the price?

The security level at which paper is destroyed, set out in the DIN 66399 standard, can slightly influence the price. For ordinary office documents P-4 suffices, for special personal data such as ID numbers and medical files P-5 is needed. A higher level means smaller particles and a bit more processing, but for paper the price difference is small in practice. More important is that you choose the right level for your type of data, so you are not too low with sensitive documents. Give at the request what kind of paper you have, then you get the appropriate level in the price.

How does the price of a fixed bin work?

If you produce confidential paper continuously, you place a locked bin at the office that is emptied periodically. The price then depends on the size of the bin and the frequency of collection, for example monthly or quarterly. Per collection that often works out more favourably than loose boxes, because the collection is planned efficiently. You pay for a fixed, predictable service and keep your archive manageable by itself. For a one-off clear-out a fixed bin is precisely not needed.

What is included in the price?

A fixed price is only clear once you know what is in it. With us the price includes:

  • The collection at your location, sealed for sensitive documents.
  • The destruction to the agreed DIN level.
  • The certificate of destruction for your GDPR file.
  • The recycling of the shredded paper.

So you do not pay separately for the certificate or the processing, that is all in the price. That way you know exactly where you stand in advance.

Recycling is in the price

After destruction, the shredded paper goes to a paper mill, where it is pulped into new fibres. You do not pay separately for that, the recycling is in the price. That means your old records become raw material for new paper, without extra cost and without anything legible remaining. Clearing out safely and sustainability thus go together. You do not have to worry about what happens after shredding.

Avoiding hidden costs

The difference between a clean and a disappointing price is often in the small print. So watch a few things. Do you get a fixed price or a rate with after-the-fact billing? Are call-out fees included or do they come on top? Is the certificate included or does it cost extra? With a fixed price in advance, including the certificate and without call-out fees within the service area, you face no surprises. Always check this before you agree.

What do data carriers cost?

If besides paper you also have old hard drives, USB sticks or a written-off laptop, those can come in the same collection. Data carriers are registered separately on serial number and destroyed to their own DIN level. That brings a separate price per carrier, but saves you a second collection. Because paper and data carriers are taken at the same time, you pay only once for the call-out. More on digital destruction is in data destruction.

What does urgency cost?

Sometimes paper must go quickly, for example because an office must be emptied at short notice or because an inspection suddenly calls for proof of destruction. An urgent collection is usually possible, but may bring a surcharge because the planning around it is adjusted. For an ordinary, planned collection you choose a date that suits you and pay the standard rate. In a hurry, give that straight away, then you know in advance whether a surcharge applies and never pay afterwards for a surprise.

Is shredding yourself cheaper?

An office shredder seems free at first sight, but that is deceptive. You pay in time, because shredding boxes at a time costs hours. You pay in quality, because a cheap device reaches no high DIN level. And you miss the certificate, which is precisely your proof in an inspection. For a few sheets a day shredding yourself is fine, but as soon as it is about volume, having it collected is usually cheaper if you count the time spent. The comparison is in paper shredding.

How do I request a price?

  1. Estimate your volume. Count the boxes or folders, a rough estimate is enough.
  2. Give it together with your location and whether data carriers are included.
  3. Receive a fixed price in advance, without after-the-fact billing.
  4. Plan the collection at a moment that suits you.

Good preparation saves time and money. How to prepare a request handily is in inventory for a quote request.

Why the price is worth it

Paper destruction costs something, but the alternative often costs more. A data breach from paper thrown out unshredded can lead to a report to the data protection authority and in the worst case a fine. The GDPR requires storage limitation in article 5 and appropriate measures in article 32, until the document is destroyed beyond legibility. Against a few tens of euros for a clean collection stands the risk of a leak of client data. Seen that way, the price is mainly an insurance against a much bigger problem.

Tips to save costs

  • Collect and plan in one go, so you do not pay for separate small collections.
  • Combine paper and data carriers in the same collection, then you pay only once for the call-out.
  • Choose a roll container as soon as you have more than a few boxes.
  • Estimate your volume in advance, then you get the right rate straight away.
  • Combine with a move or year-end for an efficient clear-out.

In doubt about the volume?

Many people misjudge their pile of paper, usually too low. An archive cabinet that looks half full quickly yields ten boxes. Still, you do not have to count exactly for a price, a rough estimate is enough. You pay for what is actually collected, not for what you give in advance. If more or less comes out than expected, the price simply matches it. That way you never run the risk of paying too much through a wrong estimate in advance.

A real-world example

Imagine an SME office wants to have eight boxes of old records destroyed after the year-end, plus two old hard drives. Eight boxes are above the threshold where a roll container becomes cheaper, so the office chooses a roll container and settles by weight. The two hard drives come in the same collection, registered on serial number. Because the office is within 20 km of Amsterdam, there are no call-out fees. The office gets a fixed price in advance, pays not a cent more afterwards and receives a certificate for paper and drives together.
